Xero vs QuickBooks UK: which is better for small businesses in 2026?

Xero and QuickBooks are the two dominant cloud accounting platforms for UK small businesses. At Cledger, our accountants use both every day across a portfolio of UK clients. This is an honest comparison, not a paid promotion, covering pricing, features, MTD compliance, and which one actually suits different types of business.

Both platforms frequently run promotions offering 50–90% off for the first 3–6 months for new subscribers. Check current prices directly, the figures above are approximate list prices and change regularly. QuickBooks is slightly cheaper at most tiers.

MTD for VAT and MTD for ITSA compliance

Both Xero and QuickBooks are fully compliant with Making Tax Digital for VAT and are recognised by HMRC for MTD for Income Tax Self Assessment. Either platform will allow you to file VAT returns directly to HMRC and, once MTD for ITSA applies to you, submit quarterly updates without separate bridging software.

Verdict on MTD: Dead heat. Both are equally compliant.

Bank feeds and reconciliation

Bank feeds, the automatic importing of your bank transactions, are essential for efficient bookkeeping. Both platforms support bank feeds for all major UK banks (Barclays, HSBC, Lloyds, NatWest, Starling, Monzo, Revolut, etc.).

Xero has long been regarded as having a cleaner, more intuitive bank reconciliation interface. Transactions are presented one by one with suggested matches, and the workflow is fast once you have set up rules.

QuickBooks has improved significantly and its reconciliation flow is now comparable. The categorisation AI (which learns from your patterns) is arguably slightly better than Xero's in 2026 for businesses with repetitive transactions.

Verdict: Xero has a marginal edge on interface cleanliness; QuickBooks has a marginal edge on AI categorisation.

Invoicing and quotes

Both platforms handle invoicing, quotes, and payment collection. Xero's invoicing module is widely considered more polished, with better branding options and a cleaner client-facing layout.

QuickBooks has a strong advantage in one area: progress invoicing (billing a client in stages against a project quote) is built natively into QuickBooks but requires a workaround in Xero. If you work in construction, consulting, or any project-based business, this matters.

Payroll

Xero Payroll is available on Standard and Premium plans and handles PAYE, RTI submissions, auto-enrolment, and payslips. It is functional but basic, not well-suited for complex payroll with multiple employee types, overtime, or variable hours.

QuickBooks Payroll is more feature-rich and is available as a standalone add-on. For businesses with more than 5–10 employees, QuickBooks Payroll generally handles complexity better.

Verdict: QuickBooks for anything beyond basic payroll.

Reporting

Xero's reporting suite has improved substantially. Its Xero Analytics feature provides cash flow forecasting and business snapshot dashboards on higher-tier plans. Custom reporting is solid.

QuickBooks has a wider library of out-of-the-box reports and more granular filtering. For businesses that rely heavily on reports for decision-making, QuickBooks generally offers more flexibility without needing custom builds.

Accountant and bookkeeper preference in the UK

Among UK accountancy firms, Xero has historically been the dominant platform, particularly in public practice. Most cloud-first UK accountants trained on Xero first. This means if you want your accountant to log into your software directly, they are more likely to already be familiar with Xero.

QuickBooks has significant market share among US-origin businesses operating in the UK, and among businesses that switched from desktop QuickBooks. It is fully capable, it is simply less embedded in UK practice culture.
